New Amenity Access System and Pool Opening

Dear homeowners and residents of Woodland Park,

We are pleased to announce that the community pool is now open. Thank you to everyone for your patience while the new access system was installed.

The new system allows residents to use their phone to access our community amenities instead of using physical fobs. This access will apply to the pool, the mailbox kiosk, and the dog park once everything is fully activated.

To receive access, residents must complete a short registration form so the HOA can verify residency and activate your Bluetooth access token.

Current fobs will continue to work for a limited time, but they will be permanently deactivated on April 30, 2026.

Please complete the form as soon as possible to avoid losing access.

During registration you will also see the updated pool rules. These rules will be posted at the entrance of the pool and on the bulletin board inside the pool area.

This upgrade was highly requested by residents. The goal is to make sure only Woodland Park residents are using the amenities and to improve safety and accountability for everyone in the community.

Please help us take care of the pool and surrounding areas. If you notice anything unusual or suspicious, please report it to the HOA.

We appreciate everyone’s cooperation as we roll out this new system.

Remember, physical fobs will stop working after April 30, 2026, so please register as soon as possible.

Current Projects in Progress

The Woodland Park community pool will be closed starting Monday, January 19, 2026 , for approximately 3–4 weeks to complete important maintenance and security improvements.

During this closure, the following work will take place:

Pool will be drained to allow for necessary repairs and deck resurfacing
Pool deck resurfacing to fix leak, safety and durability.
Replacement of the existing pool fence with a taller 8-foot security fence
Installation of door alarms to alert if gates are left ajar
New security monitoring system with AI-assisted oversight
New fence installation at the mailbox kiosk
Mailbox kiosk will receive the same secure access system
Mail carriers will be issued authorized access tokens

New Community Access System (Overview)

Access to community amenities will transition to cell phone Bluetooth access
Each household will be issued two mobile access tokens , similar to physical keys
Sharing an app password will not activate access
Only approved devices with an assigned token will unlock gates or doors

We’re happy to share that the pool is now open following recent electrical and pump repairs. Thank you for your patience during the downtime. Here’s a summary of what’s been completed, what’s in progress, and what’s coming soon:

Pool pump and electrical repairs – pool is now open
Family restroom door – lock fixed
Pool furniture – rearranged for better flow
Broken chairs – moved to the back and locked up

➡️ Please do not move or attempt to unlock the stored chairs. They have been secured to prevent misuse, as some were used near the fence to aid trespassing.

➡️ Also, return any furniture you use to its original position when done. The Board personally arranged it to make the area welcoming. Small efforts help keep the pool clean and enjoyable.

�� Community Ambassadors

The Community Ambassadors serve as neighborhood representatives — one or two homeowners per sector — acting as a direct liaison between their area and the HOA Board. They observe and report important issues, represent homeowner concerns, and help ensure that the neighborhood is maintained to high standards.

Responsibilities include:

Observing and reporting the following types of concerns in their sector:
Landscaping issues (dead grass, poor maintenance, etc.)
Irrigation leaks or sprinkler failures
Perimeter fencing damage or deterioration
Rules and regulation violations (unapproved structures, garbage cans left out, etc.)
Parking and noise complaints
Lake or pond issues (algae, invasive species, excessive wildlife activity)

Relaying issues directly to the Board via the designated team leader

Expectations:

Must be a homeowner in good standing with no active violations
Must be professional and solution-focused , not confrontational or combative
This is not a platform to enforce personal preferences or control neighbors — ambassadors are expected to follow HOA guidelines and support fair enforcement
Only ambassadors may communicate with the Board , though helpers may assist in observing issues
Ambassadors from each sector must choose one primary contact (team leader) to communicate with the Board

�� Holiday Décor Committee

The Holiday Décor Committee is responsible for creating a festive, welcoming atmosphere in our neighborhood during the Christmas and winter holiday season. This includes everything from planning the design theme to installing and later removing decorations in the community’s shared spaces.

Committee members will collaborate on all aspects of the holiday setup and must be reliable, creative, and willing to contribute hands-on work.

Responsibilities include:

Designing a holiday decoration theme for the entrance, pool cabana, and other common areas
Taking inventory of existing décor and identifying any needed supplies (lights, garland, wreaths, etc.)
Installing decorations in a safe and timely manner (typically after Thanksgiving)
Maintaining the decorations during the season (e.g., adjusting fallen items, replacing lights if needed)
Removing all decorations promptly after the holidays (typically after New Year’s)
Providing a simple budget proposal to the Board for approval before purchasing any new materials
Storing decorations properly in a designated area (if applicable)

Expectations:

Members must be homeowners in good standing with no active violations

The Garage Sale Committee organizes up to two neighborhood garage sales per year , working with homeowners to coordinate a unified event. While the HOA provides the platform and guidance, it’s the committee’s responsibility to manage participation, promotion, and logistics.

Responsibilities include:

Choosing tentative dates for garage sales, spaced about 6 months apart
Recruiting and organizing a list of participating homes
Submitting the final participation list to the Board in advance of each event
Promoting the event through social media apps (like Nextdoor, Facebook groups), flyers, and local online boards
Installing and removing signage in common areas before and after the event
Filing permits with the City of Orlando (or applicable agency) as needed
Coordinating with the HOA Board for any approval, support, or budget (if signage or printing is needed)

Dear Homeowners,

The Board of Directors would like to inform you that the budget for 2025 will be increased to accommodate the monthly assessment of our reserve funding. This adjustment is necessary to adequately support the reserves for various community assets, including the pool, fence, cabana, monument, perimeter fence, dog park, playground, and the OCPS school fallout pond drainage system. This increase aims to address the underfunding of reserves from previous years, particularly during the period when the Board of Directors was under Developer control. By taking these steps, we can ensure the long-term sustainability and maintenance of our community facilities.

The reserve funding is crucial for covering emergencies and large repairs, such as cracks in the pool or significant damage caused by storms or fires. While we have insurance for most of these situations, the reserves help us manage deductibles and other unexpected expenses that insurance might not fully cover.

When you open the budget drafts, you will see detailed notes on each of the items, including any reductions or increases. While our goal is to keep the assessment as low as possible, we must ensure that our reserves are properly funded, especially after completing major repairs to the pool cracks.

Below are two budget drafts for 2025 for your review. The first draft, which sets the monthly assessment at $75.00, was sent via USPS along with the budget meeting agenda. Unfortunately, the second draft, which proposes a monthly assessment of $77.00, was not included in that mailing.

The Board of Directors will be holding a voting meeting to decide on the final budget for 2025. While this is a Board decision, all homeowners are invited to watch the proceedings via Microsoft Teams.

Dear Woodland Park Homeowner,

Our managing company is changing names to RealManage, and we will be using a new system called CiraConnect for backend operations such as billing, assessments, vendor management, and ARC requests. However, our website, woodlandparkorlando.com , remains the main hub for all important information, news, and updates. The HOA website is currently being updated to reflect these changes. For quick questions, you can contact our Community Association Manager, Krystal Soto, directly using the website chat or request a quick call just like before.

Important Information:

Approximately one year ago, Evergreen was purchased by RealManage, a property management company that manages over 3,400 communities (condominiums and HOAs), making it the third largest management company in the US.
Evergreen will officially be rebranded as RealManage and will adopt some of the technology-forward attributes of RealManage, including CiraConnect.
CiraConnect is RealManage’s proprietary, cloud-based technology which allows users access to pertinent community information via web portals, tablet apps, and smartphone apps for all community constituents, including board members, residents, and service providers.

Transition to CiraConnect:

Woodland Park residents will experience its “go-live” event with our homeowner “first of the month” payments due and payable via CiraConnect starting August 1, 2024.
“Welcome” letters were sent to all homeowners via mail in July. Be on the lookout for this document. Each homeowner will be required to set up a new account via the new Resident Website Portal at Ciranet.

Important Actions Required:

If you are currently set up on any automatic payment system including ACH, auto-debit, and Bill Pay through your bank, you will be required to change your payment information for the August 1, 2024, payment and subsequent monthly payments.

Registering on the Resident Portal Website or Mobile Application:

Go to WWW.CIRANET.COM/RESIDENTPORTAL and click “Don’t have an account?” below the Log In button.
Create your User Account by entering your Account Number, Check Digit, Email Address, and a Password of your choice. Then click “Create User”. Your Account Number and Check Digit can be found on the first page of the Welcome Letters, on your assessment payment coupon, or the “tear off” portion of your statement.
Check your email inbox and open the email with the subject line “CiraNet Portal Registration”. Click on the link to activate your account. (The email may be in your ‘Junk Mail’ folder if you use Spam Protection). The link will take you back to the Login page.
Login with your email address and the “Password” that you created in STEP 2. The “Home Page” will appear. You are now logged into the Resident Portal and are ready to use the functions listed on the left side of your screen.

Since your community is new to using CiraNet software, please allow approximately 30 days for the Owner/Resident Portal to reflect your current balance and an account statement to be fully populated with all your community’s information.

Mobile Application:

You must register on the Resident Portal Website before you can log into the mobile application.

Billing / Payment Information:

We are pleased to offer many ways to pay assessments. To avoid issues with processing your payment, please do not make a payment on the resident portal website before the start date of 08/01/2024.

ACH / Auto Debit (Recommended):

Please Note: Current ACH/Autopay will not carry over to CiraNet, you will need to re-enroll.

ACH/Auto Debit is the easiest way to pay for your assessments. Our ACH system automatically debits your account for the amount you choose when your assessment is due. Visit REALMANAGE.COM/RESIDENTPORTAL to sign up online or call 1-866-473-2573 for assistance.

eCheck / Credit Card:

You can make a one-time payment using eCheck (electronically debited from your checking account), Visa, MasterCard, American Express, or Discover (bank payment processing fees may apply). Bougainvillea and blue agave plants were strategically planted around the pool perimeter to discourage unauthorized access over the pool fence.
All pool cabana fans have been replaced.
The annuals are scheduled to be planted at both entrances on Friday July 26, 2024.
Areas on the sidewalk that were slippery or had standing water have been pressure washed.
The Board of Directors is soliciting bids to improve drainage around the pool area.

Bench Installation: Using last year's budget, 4 benches were installed in the amenity area. Note: Benches for Evita Street fields were not a priority, as per community feedback.
Toddler Area Flooding Solution: Installed a French drain, regraded the area, and added new mulch to address flooding issues. A resident landscaper carried out this project. Reminder: Monitor your kids to keep the mulch inside the lot and not on the slides.
Irrigation and Flooding Solutions on Soccer Field: Broken pipes were repaired to address this issue.
Removal of Christmas Lights and Decorations: Completed by our neighborhood volunteers in the Christmas committee.

June 2024 Community Survey Results

We appreciate the active participation and constructive feedback from our community members. However, it is important to note that only 32.3% of households (201 responses) participated in the survey, and this feedback does not represent a great majority of the community.

According to our bylaws, to change the regulations we would need votes from at least two-thirds (66.7%) of the community homes out of 623, which is approximately 416 homes. Based on the survey results, there is not enough interest to get the votes required to change the regulations.

We can discuss this at the board meeting, but keep in mind that if we don’t get 416 votes, we won’t be able to change the bylaws. If we had received surveys from 400 of the homes, we would feel confident we would get the participation and the votes at one of our board meetings or by proxy.

Based on the 201 responses, here are the key takeaways:

Garbage Bin Placement: 63.2% prefer visibility on the side of the home.
Basketball Hoop Storage: 59.2% support allowing hoops on driveways.
Paver Color on Driveway: 54.5% prefer colors that complement other homes.
PVC Fence on Semi-Private Ponds: 70.1% agree with having PVC fences.
PVC Fence Color (Beige): Nearly split, with 50.7% against and 49.3% in favor.

Hello residents,

This is your board member - secretary asking for a few minutes of your time. Some of you have been voicing your concerns regarding school traffic within our community and we have heard you. I have recently been in contact with our commissioner’s office regarding school traffic at our community.

In order to find a solution to this problem, they are asking that we send an email detailing the traffic problems we are experiencing. Once they get our email, they will then bring the issue up to the attention of the Orange County Sheriff’s Department, South Creek Middle School’s principal and the Department of Traffic.

We are all hoping to get this issue resolved or at least better handled. Today, I am asking you all who may have had a negative experience with school traffic, to please email me your experiences as detailed as possible.

If you have photos or videos, even better! I will be forwarding all your experiences and photos/videos in an email to the commissioner on Friday, March 15.

our $55 monthly assessment will go up to either $75, $85, or $95 based on your feedback.

The 2024 budget aims to cover operational costs and fund essential and requested community upgrades. All proposed upgrades are divided into categories based on their order of importance and will require ongoing maintenance, which will be accounted for in future budgets.

Important: Feedback Deadline

Your feedback is critical and is needed by September 13.

The form allows you to submit your preferred budget and comments. The board will select the best budget based on your feedback.

Speed Hump Proposal

Proposed Layout

Raised crosswalk (approx. $4500)
Speed cushion locations that were discussed according to my notes $5000 ea)
Stop sign placements (as discussed, this would require a warrant study to be conducted once we have a better idea of which intersections we want to focus on)
Small traffic circle to help break up the flow of the street to encourage more mindful caution and speed (approx. $9000)
Speed table due to the length and size of the road to help with traffic concerns here (approx. $4500)

The Locations in orange numbers must wait until the bond with Taylor Morrison expires next year.

The county will also prepare a work order to have the stop bars placed at the existing sign locations to help bring attention and alert drivers to proceed with care and stop when appropriate. (Cost to be determined by the number of locations)

Orange County is willing to pay for half, and there are a couple of options for the rest to look at:

The HOA can contribute based on the funds available.

We can request the commissioner’s office to see if they can contribute funds. If funds are an issue, these projects can be done in stages.

Water fountains in 2 ponds: We are currently awaiting budget approval to proceed with the installation of water fountains in the two ponds. This project is planned for 2024, but we are also open to saving for it over a three-year period.
